Incoterms Quote Comparison Sheet

Supplier quotes using different Incoterms rules cannot be compared from the headline price. Normalize every offer to the same product specification, quantity, currency, shipment mode, destination, and time period.

Record the quote exactly

  • Rule and version, such as Incoterms® 2020
  • Named place or port
  • Product and packaging revision
  • Quantity, shipment size, weight, and volume
  • Quote validity and exchange rate
  • Seller inclusions and exclusions

Add missing cost layers

For each offer, enter loading, origin pickup, export formalities, terminal handling, documentation, main freight, insurance, destination charges, customs brokerage, duty, tax treatment, examinations, inland delivery, and expected delay exposure.

Use the Incoterms responsibility matrix to identify the normal allocation, then confirm the actual contract and provider charge schedules.

Compare control as well as price

Record who selects the forwarder, controls booking and routing, obtains cargo insurance, receives transport documents, and can respond when a cut-off is missed. The lowest normalized total may still be unsuitable if the buyer cannot obtain necessary documents or see destination charges in advance.

Incoterms rules do not decide customs classification, importer responsibility, payment timing, title, warranty, or product compliance. Keep those decisions in the appropriate contract and compliance records.
